OPERATIONS COORDINATOR


About the role

We’re looking for an Operations Coordinator to join our public relations and marketing communications team. You’re organized, detail-oriented and can operate as a numbers-focused person in an environment of creatives.  You’ll be able to multi-task and manage multiple systems that keep our nationwide team connected and coordinated and perform critical tasks related to invoicing and financial tracking.

Our team is comprised of both 1099 contractors who work less than 30 hours per week and W2 employees, part-time and full-time. We envision this role for a 15-20 hour per week contractor; however, we are open to considering a full-time employee role for the right candidate or to consider it down the line.  We may hire more than one person depending on the availability of the right candidate(s).

We are looking for a natural organizer, someone to help us maintain and improve reporting, analytics, operational and financial systems both for the firm as a whole and for some specific accounts.  It’s a multi-faceted position that could become multiple positions, or expanded hours and responsibilities, as we grow.

Job Responsibilities

  • Operations:
    • Manage the time management system (Dovico)
    • Issue weekly, mid-month, month-end and quarterly time reports (Dovico)
    • Manage the media management system (Cision)
    • Manage office space systems (Industrious, Google calendar)
    • Manage the Team calendar (Google calendar)
    • Manage email group lists (Google mail)
    • Assist with onboarding of new team members (with IT lead)
    • Maintain team contact list
    • Identify process improvement opportunities
  • Finance:
    • Support invoicing process including some work in Quickbooks
    • Draft billing reports (also see “account analytics”)
    • Deposit checks and record deposits
    • Gather information needed for outsourced bookkeeping, answer questions from accountants, run reports and enter some data into Quickbooks
    • Track expense information and gather documentation, clarify charges
    • Identify process improvement opportunities
  • Account Analytics (certain, not all, accounts)
    • Conduct media monitoring and identify media placements
    • Record media placements and maintain media placement summaries
    • Draft account analytics decks drawing from multiple sources of information
    • Run time reports
    • Draft billing reports
    • Perform other organizational and administrative tasks
    • Identify process improvement opportunities
  • Periodic Administrative Support
    • Assist CEO with meeting scheduling in complex scheduling situations
    • Transcribe audio and video files
    • Assist CEO and Operations leader with special projects
    • Identify process improvement opportunities

Required skills and experience

  • Detail-oriented, finance focused, organized
  • Some financial or accounting experience
  • Microsoft Excel (very important), Word and Powerpoint
  • Ability to work in an office in Evanston (909 Davis Street) at least 2 days per week for at least 4 hours on those two days, on a schedule to be mutually agreed upon with Akrete’s CEO and Operations leader.
  • Ability to become a QuickBooks advanced user (no experience required, but ability and interest absolutely necessary)
  • Collaborative, curious, open-minded and kind
  • Not afraid to work hard, ask questions, learn new things
  • Ability to work in a hybrid environment with colleagues and clients across three time zones

Optional skills and experience

  • Financial training
  • Experience in finance and/or operations
  • Software:  Google suite, Quickbooks, Microsoft Word/Excel/PPT, Zoom, Adobe Creative Suite, Canva, Hootsuite, others
  • Industry experience in commercial real estate, finance, professional services and/or cannabis

PUBLIC RELATIONS ACCOUNT MANAGER


About the role

We’re looking for a new member of our public relations and marketing communications team, a PR generalist with robust client management, writing and media relations skills, ideally with a focus on B2B and experience in our focus industries. You’ll drive media strategy, draft and edit PR and Marketing content of all shapes and sizes, and be responsible for campaign implementation. You’re as organized and detail-oriented as you are creative and goal-driven.

We expect you to have a firm grasp of running a successful and growing PR program. This will include primarily client management, content creation and media relations, including some digital marketing, social media, email marketing and related services. Of course, this must all operate efficiently, within budget and be measured and evaluated according to industry best practices.

Job Responsibilities

  • Media relations — developing thoughtful media strategies, recommending new pitch ideas based on the news cycle, building relationships with and pitching relevant media (business, trade, verticals both online and broadcast), newsjacking and rapid response
  • Client management — works directly with clients on a daily basis advising on strategy, implementation, new program ideas, status and performance of public relations programs
  • Content creation — research and creation of content, largely consisting of press announcements, blog posts, thought leadership, contributed columns, web copy and other related material. Must know how to write in a “business to human” voice.
  • Social media — organic social media implementation of campaigns, primarily focused on LinkedIn and Instagram

Requirements

  • At least 5 years’ relevant PR experience, agency experience (senior account executive title or above) ideal
  • B2B thought leadership writing skills (writing samples will be requested for candidates we choose to interview)
  • Experience in commercial real estate, finance and/or cannabis
  • Entrepreneurial with strong business savvy
  • Collaborative, detail-oriented, open-minded and kind
  • Strong presentation skills in front of C-level execs
  • Ability to counsel clients and make recommendations on the fly
  • Unflappable, practical, proactive, mature approach
  • Creative, disciplined, curious, organized
  • Not afraid to work hard, be humble, ask questions, learn new things
  • Proven ability to work in a hybrid environment with colleagues and clients across three time zones
